If your company hasn't figured out how to use AI by 2026, your employees already have.

 

They are using ChatGPT on personal accounts. Pasting customer data into free tools to write faster. Summarizing documents that should never leave your network. Not because they are careless, because you left a vacuum and they filled it.

 

This is not speculation. It is the pattern we see when we start working with a new client. Somewhere in the organization, usually in the teams under the most pressure to deliver quickly, people have quietly figured out which AI tools make their jobs easier and started using them. Without guidelines, without approved tools, and without anyone knowing what data has been shared with what systems.

 

The gap between AI moving fast and organizations moving slowly is not a technology problem. It is a policy problem.

 

Most companies understand that AI is important. Most leaders have been in a meeting where AI came up. But understanding that AI matters and deciding what your people are actually allowed to do with it are two different things. In the absence of a decision, people make their own. And the decisions individuals make under deadline pressure are not the same decisions a thoughtful team would make with security and compliance in mind.

 

The concern about data privacy is valid. The concern about trade secrets is valid. The concern about compliance in regulated industries is valid. But "we are not ready" is not a policy. It is a gap waiting to be exploited.

 

An AI policy does not need to be a hundred page document. It needs to answer a small number of practical questions clearly enough that any employee, contractor or agency partner knows what to do.

 

  • What tools are approved? Pick the tools that meet your security requirements and tell people to use those. A corporate account with proper data agreements in place is infinitely safer than twenty people using free personal accounts.
  • What data can and cannot touch those tools? This is the most important line to draw. Internal strategy documents, customer data, pricing information all need explicit rules, not "use your judgment."
  • What are the rules for contractors and agency partners? This is the part most companies miss. Your internal employees might follow the policy but the contractors working with your data need the same guidance. It needs to be in the contracts and communicated, not assumed.

 

The companies doing this well are also moving faster. Teams with clear AI guidelines are spending less time on the mechanical parts of their work and more time on the things that actually require human judgment. That productivity gap between the companies that have sorted this out and the ones that haven't is only going to widen.

 

It does not have to be perfect. It has to exist.

 

Give your people a safe way to use AI or they will find an unsafe one. They are already looking.
